Chapter 4 - Media Preparation and Transmittal of Data

A. Media Preparation

The preferred media for submitting IR&D documents to DTIC are write-once (CD-R) CD-ROMs. Other types of CD-ROM media are acceptable with the understanding, by the submitter, that they are, possibly, not as secure as write-once CD-ROM media. Should some situation exist in which non-CD-ROM media is considered for submission of IR&D data to DTIC, please inform the DTIC Contact Point before preparing your IR&D submission so that further guidance can be provided.

1. Multiple CD-ROMs

Multiple CD-ROMs are acceptable, especially in lieu of compression software. In this case, please label multiple CD-ROMs appropriately (for example, CD 1 of 2; CD 2 of 3, etc.).

B. Transmittal Check Sheet

Contributors to the IR&D database are strongly encouraged to include both a printed and electronic version (as one of the documents on the main/first submission CD-ROM) of the transmittal check sheet (Appendix D) with each submission. This sheet will serve as a useful "check list" for ensuring a complete IR&D submission, as well as, serve as a helpful guide to your IR&D submission by DTIC staff who process your data.

C. Feedback from DTIC

IR&D submissions should be mailed to DTIC via any secure/tracked mailing service acceptable to the submitter. By doing so, the chain-of-control of IR&D information is both established and maintained while sensitive IR&D data is in transit to DTIC. The mailing address shown in the IR&D Contact Point information listed in Chapter 1, Section C is where IR&D data should be sent.

D. Project Summary Updates

Contributors are more than welcome to send updates of their IR&D project summaries to DTIC during the year. When submitting these updates, please indicate: 1. the accession number of the IR&D project summary being updated and, 2. whether the updated project summary is a complete replacement of the initial project summary(ies) (re-using the original project summary accession number) or if it is an addendum to an existing IR&D project summary which uses a new accession number. In either of these cases, the updating IR&D project summary should use the same fiscal year (FY) number as the original project summary.

DTIC will contact you (via e-mail or telephonically) should there be any processing problems with your data. If you have any questions about, or need help with, filling out the templates, please contact the IR&D Contact Point listed in Chapter 1, Section C.
